Motew Minute | Get Back to Routine Care

At the height of the COVID-19 pandemic, Inova saw a significant decline in patient volume for both emergency care and routine appointments. Delayed care can have immediate and long-term effects on your overall health and we are urging people to get back to their doctors for annual check-ups and routine screenings. Make your health a priority: don’t ignore new signs or symptoms and schedule a visit with your doctor today for a check-up.

Team Member Health Vaccinations

Beginning Monday, June 14, Team Member Health will begin administering the Pfizer COVID-19 vaccine to all Inova team members and contractors with an Inova ID badge. Team members do not need an appointment. Below is a list of Team Member Health locations and walk-in clinic times. Please bring your Inova badge and, if you’re receiving your second dose, your CDC COVID-19 vaccination card.

Still Time to Get Vaccinated at Stonebridge Vaccination Center
There is still time to get your first or second dose of the COVID-19 vaccine at the Inova Stonebridge Vaccination Center. The center will permanently close on Thursday, July 1, at 3:30 p.m.

  • Team members who receive their first dose at the Stonebridge location and are due for their second dose after the center closes, can receive the second dose at one of our care site clinics or Team Member Health (see above for times and locations).
  • No appointments needed. Walk-ins are welcome, and we encourage everyone age 12 years and older to get their shot as soon as possible.
  • If you’d like to make an appointment, you can schedule one at your primary care office or at another convenient location. Click here for clinics in your area.

Safe@Inova starts with our team members, and vaccination is the best way to keep ourselves, our patients and our families safe from COVID-19. We encourage everyone to get vaccinated today.

IMPORTANT: Clarification on iMED Consents

As of June 1, 2021, providers are expected to utilize the iMED Electronic Informed Consent as the primary tool for documenting informed consent discussions with patients, as consents will be processed solely through iMED. It is important to note that iMED is a separate application used to collect the consent. The consent does not become an official part of the patient’s record until it is posted in Epic.

To properly verify that a patient’s consent has been completed, check the Chart Review: Consents tab in Epic to confirm that the consent has been fully authenticated. Reviewing the consent only in the iMED application does not validate that the consent had been fully signed and can still read as “incomplete.” Verification must be done in Epic after any ‘time out.’

Please verify that all signatures are complete and consents are present in Epic. All reference materials (tip sheets, roadmap, videos, FAQs) are available on our InovaNet webpage.* This information is also available in Epic.

New Alert for Non-COVID-19-Vaccinated Patients

As our community begins to address back-to-school and back-to-the office challenges, vaccine hesitancy continues to be a concern for all. Beginning last week, Epic now helps providers identify and counsel patients who are hesitant to receive the COVID-19 vaccine. This change impacts all ambulatory visits and involves a new screening (COVID Vaccine Plans) and a BPA for providers if the patient indicates vaccine hesitancy.

A screenshot of the BPA that will pop up in the next encounter is included below. It includes the orders for vaccine, a link to the hesitancy flowsheet (in case the provider wants to enter another value), and the acknowledge reason. The Vaccine Hesitancy flowsheet appears in the Screening tab only when patients do NOT have COVID-19 vaccine documentation.

Thank You Volunteers!

We are grateful to Virginia National Guard’s Task Force Cavalier for serving at the Inova Stonebridge COVID-19 Vaccination Center since April 2021. Their aid has been instrumental in our efforts to vaccinate our community.

To-date, Inova has administered more than 443,000 COVID-19 doses of the vaccine to the communities we have the privilege to serve. This tremendous effort would not have been possible without the support of our partners, volunteers and team members, including the local health departments, the National Guard, Fairfax County Health Department’s Medical Reserve Corps, Volunteer Fairfax, Community Emergency Response Team and volunteers from our community. Thank you!

BRID Band Retirement | Tuesday, June 15

After thorough assessment from our clinical teams, Inova has made the decision to retire the BRID band process, update the downtime process and implement a standardized patient identification process for specimen collection. This change goes into effect on Tuesday, June 15.

Why Are We Making this Change?
The BRID band process provides a false sense of security, and most institutions have discontinued this practice after introducing a positive patient identification system (barcode scanning). There is no evidence that an additional secondary patient identification process reduces errors or increases safety.

Enforcing one standard for collecting and identifying patient specimens will:
  1. reduce confusion and errors within the correct process
  2. reinforce the importance of following a single patient identification policy

New Icon for RSA Soft Token Application

Do you log into Inova's network remotely from your personal device using a RSA token? Beginning on Monday, June 21, our technology vendor will start pushing an upgrade to the RSA soft token application. This upgrade will change the appearance of the icon, but it will not affect the functionality or way you use the token. The upgrade will happen incrementally to devices in batches over the next couple months.

Upgrade Details

  • Your workflow on the token will not change, just the appearance of the icon.
  • This upgrade will affect RSA token applications loaded onto iPhones/iPads, Androids and tablets.
    • Upgrade will not affect RSA tokens loaded onto Inova-owned or personal laptops.
    • Upgrade will not affect key fob tokens.
  • The app will only update on your device if the “auto-update function” is turned on. You will not need to restart your device for the upgrade to occur.
  • If “auto-update” is not turned on, the application will not update unless completed manually by the device user.
  • If you do not have “auto-update” turned on and don’t wish to upgrade the app, there is no immediate need to do so. Your token will operate as it does now. Please be aware that you will need to upgrade at some point in the future.

If you have questions about this upgrade, please contact the Inova Service Desk at 703-889-2000.

World Blood Donor Day | Monday, June 14

Monday, June 14 is World Blood Donor Day! To celebrate this life-saving day, Inova is hosting a blood drive at the Inova Center for Personalized Health (8100 Innovation Park Dr.) from 10 a.m. – 6 p.m. More than 350 donors are already signed up to participate and we still have 90 slots to fill.

If you’re eligible to give blood, we encourage you to join your team members and the community on Monday to give blood. It only takes one hour and our blood supply is still critically low.

Inova team members from across the system are stepping up to help our community by donating blood. If you can’t make it to World Blood Donor Day, schedule an appointment for another time and share a photo of yourself giving blood with
tracy.connell@inova.org for inclusion in the weekly huddle.

Inova Pediatric Cardiac Surgeon, Dr. Lucas Collazo joined us at the NICU blood drive to donate double reds cells. Every day, Dr. Collazo and our teams make great things happen for patients, and that includes scheduling time to donate blood.

Call 1-866-BLOODSAVES or visit https://www.inovablood.org/donate-blood/make-an-appointment/ to make your appointment,
